. Coordinate patient flow A1. In conjunction with the Director of Clinical Operations, monitor 3-15 medical assistant staff in their performance of clinic duties, coordinating lunch and breaks to maximize staff coverage for the clinic. A2. Responsible for assuring that all practice operations are in compliance with JCAHO clinical standards (e.g. medications, Quality Assurance, charting, licensing, etc.) A3. Participate in the Quality Assurance and audit process, by collecting data from the assigned staff. A4. Demonstrate leadership style that includes time management, delegation, conflict resolution, and problem solving. A5. Train all new staff. Training should include all clinic protocols and completion of patient care competencies. A6. Accept direction from administration and act promptly. A7. Elicit pertinent clinical information such as presenting complaints from patients and referring professional, and make appropriate assignments based on established guidelines A8. Listen perceptively, convey awareness and respond to patients and visitors with health concerns using tact and discretion. A9. Establish and maintain cooperative working relationships with patients, peers, physicians and administrators. A10. Provide coverage for the Director of Clinic Operations, whenever necessary for overall support of clinic operations. A11. Perform with frequent interruptions and/or distractions including the ability to accept equivocal circumstances and respond to changing priorities and deadlines. A12. Maintain composure in the face of resistance, indifference and hostility.
A13. Provide formal/informal teaching to the staff and mentor medical assistants. Conduct formal meetings with the staff and/or initiate discussion regarding potential areas of concern. A14. Orient staff to pertinent UCLA Departments of Neurology and Nursing standards, policies and procedures. A15. Maintain JCAHO requirements and necessary paperwork including staff competencies and equipment competencies. B. Clinic Maintenance B1. Responsible for overseeing the maintenance of all necessary equipment and supplies for the Department of Neurology interfacing with IT, Clinical Engineering, Facilities, Environmental Services, Central Supply, Pharmacy, etc. B2. Skill in usage of medical equipment (i.e. sphygmomanometer, thermometer, weight scale, eye chart, AED) as well as working knowledge of instruments and supplies required to perform clinical procedures and physical examinations. B3. Develop new policies and procedures needed within the Department of Neurology Clinic. B4. Assist the Director of Clinic Operations in the daily maintenance of the room schedules by accommodating the needs of the faculty, residents, and patients based on room availability.
B5. Listen perceptively, conveying awareness and responding to patients and visitors with health concerns using tact and discretion.
B6. Interact diplomatically and compassionately with patients, their families, and general public in a high volume, public setting. B7. Maintain confidentiality and work with sensitive and confidential information using discretion and judgment. B8. Manage the day to day operations of physician practices. Assist staff, nurses, MDs and patients to attain efficient clinics and a high level of patient, staff and physician satisfaction with the operations of the practice. B9. Review and respond to emails in a timely manner. 2. General Patient Care Duties A. Maintaining Examination Rooms & Work Stations
1. Ensure that exam rooms are stocked with necessary supplies and forms, and order as needed.
2. Ensure that stored items have current expiration dates and discard as appropriate.
3. Set-up exam rooms for procedures as indicated but not limited to the following: lumbar puncture, botox injections, etc
4. Keep patient-care corridors neat and clear.
5. Keep work stations clean and clear of clutter.
6. Remove and dispose of sharps containers as per current JCAHO/CALS policy.
7. Ensure exam room equipment (i.e. otoscopes, ophthalmoscopes, exam tables) is functional and report problems to supervisor.
8. Ensure facility is safe for patients and employees and report problems to supervisor.
B. Assist physicians/patients for office visits.
1. Ensure patients are checked in for their appointment in a timely manner and assist as needed.
2. Take and record vital signs, medications and allergies in patient's medical record.
3. Recognize symptomatology of common medical illnesses and neurological disorders.
4. Respond to and assist in meeting in physical and emotional needs of the patient and their families as needed.
5. Act as a liaison between patient, family and health care provider as needed.
6. Prepare and assist physicians with the patient requiring special procedures.
7. Follow-up with patient per physician instructions regarding lab work, test results, messages, etc.
8. Ensure that refills are approved in a timely manner and according to clinic procedures.
9. Assist patients in emergency situations. Perform CPR and/or obtain help as needed.
10. Anticipate patient care needs and accommodate physicians as needed.
11. Work with physicians and office staff to maintain patient flow.
12. Document sample medications given to patients on sample medication log.
13. Coordinate safe and timely admission of patients to the hospital as needed.
14. Print lab and diagnostic information, using MCCS, as needed by physicians.
15. Ensure that patient charts are readily available for clinic appointments and other needs.
C. Act as part of the team of nurses, physicians and staff
1. Maintain a rapport with all areas within the Department (i.e. reception/registration, appointment center, administration, secretaries, and nursing colleagues) as well other departments which interface with Neurology (i.e. medical records, radiology, pharmacy)
2. Orient new health care personnel to the physical set-up, equipment and general policies and procedures within the clinic.
3. Assist physicians by reviewing requisitions to ensure completeness. (i.e. diagnosis on lab forms)
4. Demonstrate professional attitude and appearance.
5. Follow university guidelines in regard to telephone usage, equipment and supplies and report any known abuses to supervisor.
6. Communicate to supervisor any problems, issues and/or suggestions for the clinic.
7. Follow university and department guidelines in regard to attendance.
8. Ensure and/or provide back up to other support staff in other clinic areas during periods of vacation, extended illnesses or heavy workload.
D. JCAHO/Quality Assurance
1. Follow all CALS/DHS/JCAHO Guidelines.
2. Maintain samples per Medical Center and JCAHO policies.
3. Maintain and protect patient confidentiality at all times.
4. At end of patient visit, ensure patient has prescriptions, instructions, educational materials, and follow-up appointment, etc. as needed.
5. Maintain active California nursing license
6. Maintain current BCLS/CPR card.
E. Other Duties as Assigned.
