This person will provide administrative assistance for the Assistant Professor and will be responsible for clerical functions and various projects and tasks assigned.
Primary Duties
Works as a confidential assistant and provides administrative support to the Assistant Professor.
Manages day-to-day business needs.
Contributes to the organizational and administrative functions of day-to-day operations of the school.
Schedules and maintains committee minutes and documentation thereof.
Coordinates and schedules internal meetings including conference travel arrangements as needed.
Assists faculty as needed or directed.
Prepares correspondence; receives incoming phone calls and distributes messages and office mail.
Schedules appointments; creates reports as required.
Processes all printing orders, facility and equipment requests, and room reservations.
Assists other administrative coordinators with special needs or events for the department throughout the academic year, as directed.
Maintains general office files for dean and executive administrator.
Performs other duties related to job description as directed.
Required Education
High School degree.
Required Experience
Two - four years of general secretarial experience.
Skills
Strong general secretarial and organizational skills required.
Good oral and written communication skills including the ability to compose basic business correspondence and proofread work.
Skilled in the ability to utilize Microsoft Office, Word, Excel, and PowerPoint.
Mental Demands
Ability to exercise independent judgment and discretion.
Able to work under pressure, handle multiple tasks simultaneously; meet deadlines; and to work with little supervision.
Interface effectively with faculty, staff and students.
Physical Demands
Intermittent sitting and standing.
Requires repetitive wrist/finger motions with use of computer.
Sitting at keyboard for several hours at a time.
Requires good verbal communication and telephone skills, able to conduct business with other offices on campus.
Visual Demands
Computer monitor and reading.
Environment
Pleasant office setting, comfortable temperature.
Technologies
Proficient in Microsoft Office, Word, Excel, and PowerPoint.
